AI Workflow Β· Banquet Event Orders

Describe the function.
Troy drafts the BEO.

Tell Troy about the event the way you'd tell a colleague β€” typed or spoken. It drafts the banquet event order from your club's own past BEOs, in your club's own wording. Your team finishes it together on one live sheet, and publishing sends every department its copy and its staffing request.

Working
A member wants a baby shower on the 13th β€” about 50 guests, arriving at 1, done by 4.
Drafted from 4 past showers, in your wording β€” (7) Rounds of (8) for 50 guests. I pulled in the host's shellfish allergy from their profile and flagged that the guarantee isn't confirmed yet.

What actually changes

The same job, by hand today and with Troy tomorrow.

Your team keeps every decision. Troy takes the re-typing, the chasing, and the double-checking.

✍️ Writing the BEO

Drafted from your own history

Before

Open last year's file, save-as, and hope every number, name, and price got changed before it goes out.

With Troy

Troy drafts from your past BEOs, recalculates table counts for the new headcount, and never carries over old prices, names, or dates. It names the source BEOs so you can check them.

πŸ“€ Getting it to every department

One live sheet

Before

Print it, walk it around, email the PDF β€” then a change comes in and three versions are floating around the building.

With Troy

The whole team edits one live sheet. Publishing creates the next version and every department gets its copy β€” always the latest one.

πŸ‘₯ Staffing the event

Requests on publish

Before

The banquet captain finds out how many servers they need from a hallway conversation two days out.

With Troy

Staffing needs on the BEO go to each department as a request to accept or decline. Revise the BEO and the request updates β€” no duplicates.

The workflow

Troy drafts. Your team approves.

Every step that matters has a person on it β€” nothing is hidden, and nothing goes out on its own.

Troy does

Finds the room, matches the host to the member record, and drafts the BEO from your past BEOs.
Flags a missing guarantee, missing dietary details, or a double-booked room.
Sends every department its copy and its staffing request.
Creates the next version and updates or withdraws staffing requests.
βœ“

Your team does

Describes the function the way you'd tell a colleague β€” typed or spoken.
Clears the flags and finishes the draft together on one live sheet.
Saves and publishes. Nothing goes out until a person does.
Makes the change and publishes again.
Every step ends with your team. Nothing is final until a person approves it.
1

Describe

Type or speak the details to Troy, import BEO sheets you already have, or start from an event or wedding. Troy finds the room, matches the host to the member record, and drafts the rest from your history.

2

Review together

The draft opens as one live sheet. Your team edits it side by side, sees who is working on each section, and clears every flag Troy raised.

3

Publish

A person saves, then publishes. Each department gets its copy and its staffing request, and every revision becomes a new version.

Drafting

A first draft that already reads like your club.

Troy learns from the BEOs your club has already written β€” your wording, your setups, your menus β€” and stays strictly within your club's own history.

πŸ—£

Three ways to start

  • Describe it to Troy, typed or spoken
  • Import BEO sheets you already have β€” scans included
  • Start from an event or a wedding record
  • Every BEO is tied to an event on your calendar
πŸ“š

Grounded in your history

  • Drafted from your own past BEOs, not the internet
  • The source BEOs named right on the draft
  • Your wording and quantity style β€” β€œ(6) Rounds of (8)”
  • Table counts recalculated for the new headcount
⚠️

Flags before it goes out

  • Double-booked room
  • Missing guarantee, room, or dietary details
  • Unknown or ambiguous host
  • Unsettled β€œTBC” details
πŸ₯—

Allergy safety

  • The host's allergies pulled from their member profile
  • Per-dish counts with dietary variants
  • Allergies printed in bold under the menu
  • Missing dietary details flagged, never assumed
Review & publish

One live sheet. Every department on the latest version.

Things go wrong at the hand-offs between departments. A BEO everyone edits together β€” and everyone receives in full β€” closes those gaps.

πŸ‘₯

Edit together

  • The whole team works on one sheet
  • See who is editing which section
  • A colleague's change never overwrites yours
  • An activity trail of who changed what
πŸ“„

Publish & versions

  • Versions v1, v2, v3 β€” with a snapshot of each
  • A department copy without prices, and an internal copy with them
  • Every department notified in the app
  • A watermarked draft PDF any time
πŸ§‘β€πŸ³

Staffing requests

  • Staffing needs sent to each department as a request
  • Accepted or declined by that department’s manager
  • A revised BEO updates the request β€” no duplicates
  • Appears on the staff schedule, ready to fill
πŸ’΅

Pricing & event stock

  • Line items seeded from your priced packages
  • Club defaults for tax and service charge
  • Deposits, terms, and signature lines
  • A warning when same-day events need more linens or chairs than you own
Ask Troy

Just say what you need.

Talk to Troy the way you'd brief a colleague. It drafts, answers questions about any BEO, and tells you what's still missing.

β€œA member wants a baby shower on the 13th β€” about 50 guests, arriving at 1, done by 4”
β€œWe're doing the women's championship lunch again on the 12th, 40 guests. Set it up the way we did last year”
β€œWedding on the 26th, 150 guests, our clubhouse package. Ceremony at 5, dinner at 7, bar until 11”
β€œWhat's still unconfirmed on the baby shower BEO before I send it to the departments?”
β€œHow many BEOs are still in draft?”
Who uses it

Built around the roles at your club.

Everyone sees what their job needs β€” and nothing they shouldn't.

Catering & Events Manager

Drafts, reviews, and publishes BEOs, and sets pricing.

Department managers

Banquets, kitchen, bar, facilities β€” get their copy on publish and accept staffing requests.

Front-line staff

See their department's copy of the BEO β€” never the prices.

GM & Controller

The internal copy, with charges, tax, service, deposits, and balance due.

Questions

What clubs ask us.

Included in Pro and Max. Wedding BEOs come with Weddings β€” in Max, or as an add-on.

Yes β€” that's where it learns. Upload your past BEOs, scans included, and Troy drafts new ones from them in your club's wording. Sheets for events that haven't happened yet import straight into BEOs and calendar events.

No. Troy reuses the structure β€” the setup, the menu style, the run of show β€” but never carries prices, names, or dates from a past event into a new draft. It recalculates quantities like table counts for the new headcount.

No. Publishing stays locked until a person has reviewed and saved the sheet. Values Troy or an import filled in are marked until someone confirms them, and nothing is sent to a department until you publish.

Only managers and the people you give BEO duties to. Front-line staff see their own department's copy, which never carries money.

The sheet stays live. Make the change and publish again: it becomes a new version, the departments get the update, and staffing requests are updated β€” or withdrawn if a department is no longer needed.

Card authorization forms are refused on import, and anything that looks like a card number is redacted before Troy ever reads it.

Pro and Max. Wedding BEOs come with Weddings, which is part of Max or can be added to Pro.
